Free Convention Inventory Spreadsheet Template

A ready-to-use spreadsheet with built-in profit formulas for tracking your artist alley products.

By Conventory · Last updated April 2026

If you sell at conventions, anime expos, comic cons, or artist alley events, keeping track of your inventory is one of the most important things you can do. Knowing what you have, what it costs, and what it sells for is the difference between guessing and actually understanding your business.

We put together a free spreadsheet template you can use to organize your products. It has built-in formulas that automatically calculate remaining stock and profit as you fill in your sales. It works with Excel, Google Sheets, Numbers, or any spreadsheet app. You can also import it directly into Conventory if you want automatic inventory tracking and sales reconciliation.

Spreadsheet with example products and built-in profit formulas. Replace the sample data with your own products and you're ready to go.

Use the CSV file to import products into Conventory. Use the spreadsheet version if you want formulas in Excel, Google Sheets, or Numbers.

What's in the template

The template has nine columns. The first six are your product data, and the last three are for tracking sales and profit.

nameThe product name (e.g., "Totoro Sticker Pack")
categoryThe IP or franchise (e.g., "Studio Ghibli", "Original")
typeThe product type (e.g., "Sticker", "Print", "Pin")
quantityHow many you have in stock
priceYour selling price
costWhat it costs you to make or buy each unit
soldHow many you sold at the convention (fill this in after)
remainingAuto-calculates how many are left (quantity minus sold)
item profitAuto-calculates profit for that product (sold x margin)

There's also a total profit sum at the bottom that adds up all your item profits.

How to use it

1

Download the CSV file if you want to import your products into Conventory. Pick the spreadsheet version if you want the formula-based file for Excel, Google Sheets, or Numbers.

2

Open it in Excel, Google Sheets, or Numbers. The formulas work in all three.

3

Delete the sample rows and add your own products with names, categories, quantities, prices, and costs.

4

Before each convention, update your quantities to reflect your current stock.

5

After each convention, fill in the sold column. The remaining and profit columns update automatically.

The formulas are pre-built for 30 rows, so just add your products and go. This works fine for getting started. But once you're doing multiple conventions, the manual updates get tedious and error-prone.

Why convention artists switch from spreadsheets

Spreadsheets work until they don't. The common pain points convention artists run into:

Forgetting to update quantities

You skip the post-convention count once, and your next inventory is wrong. Every future decision is based on bad data.

No per-convention tracking

A single spreadsheet does not tell you which conventions are worth returning to. You need separate sheets per event, which gets messy fast.

Manual profit calculations

Accounting for production costs, table fees, travel, and hotel for each event requires formulas most artists do not want to build.

Painful on mobile

Editing a spreadsheet on your phone at a convention booth, while a customer waits, is not a good experience.

Skip the spreadsheet entirely

Import this template directly into Conventory and get automatic inventory tracking, live sales counting at your booth, convention-by-convention profit breakdowns, and automatic quantity updates. All from your phone.
